Job Purpose: The Executive Assistant assists the Sr. Director of R&D along with the leadership team in all administrative functions. This individual is responsible to create, maintain and analyze a variety of company reports, coordinate and facilitate meetings and manage special projects. This role requires the ability to multi-task, maintain accuracy and exhibits a strong work ethic while thriving in a fast-paced, results-oriented environment. In addition to providing superior executive support, this individual is a self-starter and effective at working independently and in group settings. Essential Functions: Assist, coordinate and champion special projects and tasks Facilitate generation of the monthly scorecards, weekly status reports and planning documents. Assist in preparing annual and long-range strategic business plans. Assist in organizing and preparing for meetings including presentation materials. Attend staff meetings to record minutes and complete other assigned duties. Communicate well and develop solid relationships with internal and external customers. Maintain excellent organization skills and a strong attention to detail with the ability to proactively make recommendations for efficient and innovative improvements within the departments. Ability to organize communication and items requiring immediate attention. Manage daily schedules including appointments, messages, visitors, mail, meetings, notes and other daily administrative tasks. Schedule and coordinate travel arrangements for leaders within the organization. Assemble and analyze company data while ensuring confidentiality of sensitive documents, programs and company information. Promote company values, culture and vision throughout the organization. Qualifications – Education, Training, and Experience: Associate’s or Bachelor’s degree required Demonstrated effective leadership and excellent written and verbal communication skills to support senior leadership teams. Requires extensive knowledge of Microsoft Office Suite, the ability to learn manufacturing software (ICIM) and ability to produce professional letters and business correspondence. Strong organizational skills required as it demonstrates accuracy and thoroughness. Flexibility, willingness and ability to quickly respond to changing priorities in a timely manner is required.
