Positions in this role as a Client Access Coordinator will be handling an exciting variety of clinical administration and client service duties, including a contact center, referral and specialty scheduling, and clinical reception. 

Location and Schedule: Full time Monday - Friday during regular business hours. 

1. Located at the Centralized Center

Representatives positioned for the Scheduling Center are located in the Richfield campus. 

  • Contact Center
  1. Responds to incoming phone calls and triages the call to the appropriate location, as necessary. Responds in a manner that is timely and courteous in order to ensure the caller has the most positive experience possible. Conduct necessary research in order to answer their questions.
  2. Completes checklists and all tasks within designated timeframe.
  • Referrals and Specialty Scheduling
  1. Processes internal referral requests, and responding with appropriate enrollment tasks in a timely manner.
  2. Effectively monitors and communicates enrollment slots via outbound telephone calls that are available, as well as identifying future needs, including desired time, locations and other client needs.
  3. Specialized knowledge in scheduling focus areas such as referrals, waitlists, special relationship, and unique Fraser services.

2. Located at the Clinical Locations

Located at the front desk in one of 6 Clinical locations: Bloomington, Coon Rapids, Eagan, Minneapolis, Richfield School, and Woodbury.

  • Clinical Front Desk/Medical Receptionist
  1. Greets and provides intake and check-in protocols with all clients and visitors to the building: answers routine administrative inquiries, collect co-payments, gather required information and signatures. Provides scheduling opportunities at any time during a client visit.
  2. Works with Clinical Operations Supervisor and/or Facilities to ensure that daily operations needs are met, complex needs are identified and addressed, and Fraser sites are in good working order to serve clients safely and appropriately.
  3. Ensures staff adherence to all infection control, safety and program policies related to operations procedures. This includes maintaining supplies within first aide/emergency kits, following/consulting on appropriate OSHA protocols, and enforcing health and safety standards.
  4. Conducts and documents emergency drills as well as real-time emergency events as directed by Clinical Operations Supervisor, following the established schedule and procedure. Takes the lead during emergency situations as a lead member of the First Response Team by directing and guiding those that respond to the emergency and assisting with documentation and follow-up and the end of the event. 

Qualifications:

  • BA/BS in sociology, psychology or related field preferred, but not required. 
  • Minimum one year of related experience is preferred - intake, scheduling, health care, insurance, and customer service experience
  • Provides an attitude and awareness of customer service that demonstrates a respect of others, commitment to success, and value of relationships.
  • Effective communication in the English language, including verbal and written communication with both internal and external contacts with strong telephone skills required.
